Coverage gap detected. Vendor notified. Automatically.
When a certificate expires, limits fall short, or an endorsement is missing, CoffeePal creates a severity-coded deficiency record and emails the vendor with a plain-language list of what needs fixing. The vendor uploads a corrected COI, the system re-validates, and the deficit is marked resolved. Your team reviews exceptions, not every certificate.
What gets flagged
- Expired certificates (critical severity)
- Coverage shortfalls — GL limits below template minimums (high)
- Missing endorsements — Additional Insured or Waiver of Subrogation (high)
- Ontario provision gaps — cross-liability, contractual, cancellation notice (high)
- Policies expiring within the buffer window (medium)
- Insured name mismatches (low)
The automated workflow
- COI arrives via vendor portal or intake email
- Compliance engine validates against the assigned template
- Deficiency record created with expected vs. actual values
- Vendor notified by email (rate-limited, one per 7 days)
- Vendor uploads corrected COI — system re-validates and resolves
Four compliance profiles
Basic ($2M GL, AI + WOS, 30-day buffer), Property Management ($5M GL, 60-day buffer), Ontario Government (all 8 provisions), and Construction ($5M occ / $10M agg, multi-provision). Assign the right profile per vendor and the engine enforces it.
